To create a vendor, open Tables > Vendors, create a new vendor record, enter the vendor details on each tab, then save the record. The Vendor Code length and type are controlled in Firm Options > Define Fields.
Use this procedure to create a vendor in Juris and enter the vendor's address, payment, tax, terms, and default account information.
Create a vendor
- Select Tables > Vendors.
-
Select Form > New > Vendor.
The Vendors\New window opens.
-
In Vendor Code, enter a new vendor ID, or click the ellipses button to select the first available or next highest available code.
The Vendor Code length and type, such as alpha, numeric, or a combination of both, are determined in Define Fields.
Address tab
Use the Address tab to enter basic contact information for the vendor.
- Click the Address tab, if it is not already open.
- Enter the vendor's address details, including:
- Address
- City
- State
- ZIP
- Country
- Contact
- Phone
- Fax
-
Optional: Enter a Reference Number.
The reference number entered here auto-populates the vendor reference number field, if that field is used in the check design.
Flags tab
Use the Flags tab to enter payment and tax information for the vendor.
Payments
Payment flags control how checks are selected and generated for the vendor.
| Field or option | Description |
|---|---|
| Hold All Payments | Prevents the system from generating checks for the vendor, even when payment vouchers exist for that vendor. |
| No Purchases | Prevents payment vouchers from being entered for the vendor. |
| Separate Check | Generates a separate check for each outstanding payment voucher for the vendor. If this option is not selected, Juris prints one check for the grand total of all outstanding payment vouchers when checks are printed. |
| Always Take Discount | Selects the voucher for payment even when it is not scheduled for that selection period, if waiting until the next regular selection period would cause the firm to lose the discount entered for that voucher. |
| Payment Group | Allows vendor payments to be selected within a defined group. The group is created and defined by entering the group name. For example, a firm could enter WK1 in the payment group field for vendors that should be paid in the first week of the month, then select checks by that payment group. |
Taxes
The tax section is used to enter information for tax documents.
| Field or option | Description |
|---|---|
| Gets 1099 | Sets up the vendor to generate a 1099 if the vendor meets the minimum IRS disbursement requirements for a 1099 form. |
| Report As | Determines the field on the 1099 form where the amount paid is entered, based on the type of payments made. Options include Rents, Other Income, Non-employee Compensation, and Gross Proceeds to Atty. |
| Tax ID Type | Allows you to select Federal ID number or Social Security number. This option determines where the dash is inserted. |
| Tax ID Number | Stores the 9-digit Federal Tax ID or Social Security number without dashes. |
| Supplemental Amounts | Used to enter beginning balances for vendors who had payments that were not entered in Juris. |
Terms tab
Use the Terms tab to enter vendor payment terms.
- Click the Terms tab, if it is not already open.
-
Enter the payment terms.
Payment terms may be based on Due Days or Proximo. You can enter the number of days between the invoice date and due date, as well as the discount percentage and discount days.
Defaults tab
Use the Defaults tab to enter optional Juris default values for the vendor.
- Click the Defaults tab, if it is not already open.
- Enter optional defaults, as needed:
- Expense Code
- A/P Account
- G/L Discount account
Setting up default General Ledger accounts for vendors can make voucher entry easier. If the default G/L account is set up correctly, you do not need to go to the G/L Distribution when entering the voucher.
