To create a Journal Entry Template, open Transactions > Recurring Transactions > Journal Entry Templates, create a new template, enter the template code and comment, set the notification list, complete any journal entry options needed for the template, and save the template.
No journal entry fields are required in the template. However, any required information left blank in the template must be supplied when the transaction occurs.
Use Journal Entry Templates to create reusable journal entry information for recurring transactions. A template can be assigned to a schedule so users receive notifications when the scheduled transaction is due.
Create a Journal Entry Template
-
Select Transactions > Recurring Transactions > Journal Entry Templates.
- Open a new template form using one of the following options:
- Select the New icon on the toolbar.
- Select Form > New from the menu.
- Press Ctrl + N.
- Enter a 1-4 character alphanumeric code.
- Enter a comment.
- Open the notification list using one of the following options:
- Select the ellipses button.
- Select the notification list icon.
-
Review and update the notification list as needed.
Users added to the notification list receive notifications when they log in to Juris if a scheduled item using the template is scheduled to occur that day.
The user creating the template is added to the notification list by default, but this can be changed. At least one user must be added to the notification list.
-
Complete any journal entry options needed for the template.
The remaining fields are typical journal entry options. No fields are required in the template, but required items left blank in the template must be supplied when the transaction occurs.
For more information, see Journal Entries.
Choose date options
When selecting dates for the template, choose one of the following options:
- Use Scheduled Date: Uses the date based on the schedule assigned to the transaction.
- Use Current Date: Uses the system date on the user’s machine on the day the transaction is performed.
These options affect recurring transactions that are deferred or not performed on their scheduled date.
For example, an event is scheduled to occur on the 19th of each month. If no users log in on the 19th, or users defer the transaction, the transaction may be performed on the 20th instead.
- If the template is set to Use Current Date, Juris dates the transaction on the 20th, which is the user’s current system date.
- If the template is set to Use Scheduled Date, Juris dates the transaction on the 19th, which is the scheduled date.
You can also use optional offset days. If offset days are used, the transaction date is the date determined by the selected date option, plus or minus the number of offset days defined by the schedule.
Save the template
- Save the template using one of the following options:
- Select the Save icon on the toolbar.
- Select Form > Save from the menu.
- Press Ctrl + S.
-
If an existing schedule should use the template, add the template to that schedule by selecting What schedules has this item joined?
If a schedule does not already exist, create a schedule and add the template to it.
For more information, see Schedules.
When you add a template to an existing schedule, the template is scheduled for past and future notification dates on the schedule. For past dates, the template must be canceled. To avoid this, create a new schedule for the template with dates going forward.
