To reverse a credit memo, create a new credit memo for the same client, matter, and bill, and enter reversing allocations that mirror the original amounts. Depending on how the original credit memo was applied, adjustments may be entered on the Summary, Fees, or Expenses tabs. The article also explains how to handle situations in which a client submits payment after a bill has been written off.
Reversing a credit memo may be necessary when a write-off was applied in error or when a client submits payment after a bill has been written off. Because credit memos post automatically upon saving, reversing them requires creating a new credit memo that offsets the original allocations.
To reverse a credit memo:
Start Juris® and log in.
Double-click Transactions.
Double-click Credit Memos.
Select Form > New > Credit Memo to open the Batch window.
In the Batch Comment box, enter a name for the batch, or accept the default.
Select Form > New to open the Credit Memo window.
In the Date box, enter the date for the reversal, or accept today’s date.
In the Client box, enter the client number associated with the original credit memo, or click the ellipses (…) button to search and select it.
In the Matter box, enter the matter number associated with the original credit memo.
In the Bill Number box, enter the bill number, or click the ellipses (…) button to search for and select it using the Find tool.
Bills with a zero balance do not appear in the Find tool.
In the Comment box, enter a brief reason for reversing the credit memo.
Optional: In the Narrative box, click the ellipses (…) button to select a narrative.
Enter Reverse Allocations
Click the appropriate tab(s) and enter reversing allocations that mirror the original credit memo.
Summary Tab
Use the Summary tab if the original credit memo was applied proportionally across all outstanding charges.
Click the Summary tab.
In the Adjustments column, enter the same amounts originally written off for all applicable charges (fees, cash expenses, noncash expenses, interest, and surcharges).
Fees Tab
Use the Fees tab if the original credit memo was applied to specific timekeepers or in varying amounts.
Click the Fees tab.
In the Apply column, enter the same amounts originally applied to each fee.
Expenses Tab
Use the Expenses tab if the original credit memo was applied to specific billed expenses.
Click the Expenses tab.
In the Apply column, enter the same amounts originally applied to each expense.
Enter the reversing amounts as positive values to restore the A/R that was previously written off.
Save the Credit Memo
Before saving, verify the accuracy of the information entered.
Select Form > Save to save the Credit Memo.
Click the Close button to close the window.
Credit memos post automatically upon saving.
What If a Client Pays After a Bill Was Written Off?
If a bill was written off and the client later submits payment:
Go to Client/Matter Inquiry and locate the original bill number.
Return to Transactions > Credit Memos and create a new credit memo.
Enter the same client, matter, and bill number.
On the new credit memo, reverse the write-off by entering a positive amount equal to the amount paid by the client.
